Executive Administrative Assistant
JAB Recruitment is partnering with a leading organization in the energy sector to identify an experienced Executive Administrative Assistant to support multiple senior leaders. This role is ideal for a highly organized professional who thrives in a fast-paced, executive environment and can anticipate needs with confidence and discretion.
PLEASE NOTE:
Key Responsibilities
Provide high-level administrative support to multiple executives
Manage complex Outlook calendars, meetings, and travel arrangements
Act as a primary point of contact on behalf of executives (phone, email, correspondence)
Coordinate on-site and off-site meetings, conferences, and executive visits
Prepare expense reports, P-card reconciliations, invoice coding, and submissions
Support presentations, board materials, and executive reports
Prepare, route, and track DocuSign requests
Maintain contacts, correspondence, and confidential records
Assist with office operations, facilities requests, supplies, and front desk coverage as needed
Collaborate closely with other administrative professionals to support shared office needs
Qualifications
3–5+ years of experience as an Executive Administrative Assistant
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Experience with Concur expense reporting preferred
Strong organizational skills with the ability to manage multiple priorities and deadlines
Professional, service-oriented approach with excellent communication skills
Ability to work autonomously, exercise discretion, and remain calm under pressure
Additional Details
High school diploma required; some college preferred
Ability to work occasional non-traditional hours
Background check and drug screening required
Experience supporting executives in the energy industry is a plus
