We are seeking a detail-oriented Document Coordinator – Engineering Records to support a high-volume engineering records and information management function. This is a great opportunity for someone who thrives in structured environments, enjoys organization, and can manage both digital and physical records with precision.
This role plays a critical part in maintaining data integrity, supporting SharePoint administration, and ensuring efficient handling of engineering documentation across multiple locations.
Key Responsibilities
- Support daily Records & Information Management (RIM) operations
- Assist with organizing and inventorying engineering job books and archived records
- Process and manage large volumes of incoming documentation from field locations
- Support migration and organization of records into SharePoint team sites
- Ensure records are properly classified, labeled, and aligned with retention standards
- Reconcile offsite storage inventories to maintain accuracy and consistency
- Coordinate physical records storage, retrieval, indexing, and labeling
- Partner with internal teams and external storage vendors to manage records lifecycle
- Assist with departmental projects and process improvement initiatives

- Accurate and up-to-date job book inventory
- Efficient processing of high-volume incoming field documentation
- Strong support and organization within SharePoint environments
Qualifications
- High school diploma or GED required
- 2+ years of experience in an administrative or office support role
- Experience working with document control, records management, or similar functions preferred
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Experience with SharePoint or Office 365 tools strongly preferred
- Strong organizational, analytical, and problem-solving skills
