  • This is a long-term contract assignment with an undefined end-date. Has potential to convert to a permanent position, but not guaranteed. 
  • Candidates must be local to Houston, Texas and be comfortable working onsite in 77046.

Overview

A JAB Recruitment Client is seeking a Document Control Clerk to provide day-to-day operational support for an Electronic Document Management System (EDMS) on a project-based team. This role supports document intake, quality checks, tracking, and publishing workflows while ensuring accuracy, compliance, and timeliness across project documentation.

Key Responsibilities

  • Create and maintain project Microsoft Teams sites, channels, and folder structures based on approved document control taxonomy

  • Grant and manage system access for internal teams, contractors, and project stakeholders

  • Receive, log, and register incoming documents and drawings into the Master Document Register (MDR)

  • Perform initial quality and completeness checks on submissions

  • Prepare upload and transmittal packages, including required metadata, cover sheets, and review files

  • Assign document and drawing numbers as directed by document control leadership

  • Maintain revision histories, transmittal logs, and weekly activity reports

  • Support document archiving and records management activities

  • Coordinate with IT for system setup and access-related support as needed

Qualifications

  • Experience supporting document control, records management, or administrative functions in a project-based environment

  • Strong attention to detail and ability to manage multiple documents and deadlines simultaneously

  • Comfortable following established procedures, workflows, and quality standards

  • Clear written and verbal communication skills

  • Ability to work independently while collaborating effectively with project teams

  • Prior experience in engineering, construction, energy, or infrastructure projects is helpful but not required

Systems & Tools

  • Microsoft Office (Outlook, Word, Excel, Teams)

  • Microsoft SharePoint

  • Electronic Document Management Systems (EDMS)

    • Experience with Hexagon SDx or similar systems is a plus, but not required

Authority & Decision-Making

  • Return incomplete or non-compliant submissions with documented deficiencies

  • Update document status and tracking fields per defined workflows

  • Escalate access, quality, technical, or process issues to document control leadership

Key Deliverables

  • Accurate and up-to-date Master Document Register

  • Complete and validated document upload/transmittal packages

  • Maintained revision logs, transmittal records, and weekly summaries

  • Organized and compliant project folder structures

Performance Expectations

  • Acknowledge receipt of submissions within 24 hours

  • Register documents in the MDR within 24 hours

  • Complete initial quality checks within 24 hours

  • Prepare validated upload/transmittal packages within 48 hours of acceptance

  • Maintain high accuracy in document metadata and tracking
