We are seeking a CMMS Business Systems Administrator to support maintenance operations through accurate system transactions, administrative coordination, and data management. This role combines administrative support, business system management, and accounting-related functions to ensure smooth day-to-day operational processes.
The ideal candidate will have strong organizational skills, experience working with enterprise systems, and the ability to manage multiple administrative and operational tasks in a fast-paced environment.
Monitor and maintain office consumables and supplies
Coordinate travel and hotel arrangements for traveling employees using company systems
Schedule catering and support internal meetings or events
Submit, manage, and track purchase order requests
Coordinate equipment shipping with logistics teams
Create equipment orders as required
Process Damage Rebill (DRB) transactions
Manage P-card payments for third-party vendors
Maintain and update asset and equipment records within Maximo or other CMMS platforms
Perform system transactions to support maintenance operations
Prepare quotes, service tickets, and invoices through FDP system for client billing
Assist with documentation management through Paperless systems
Submit invoices in relevant business systems in a timely manner
Process both PO and Non-PO invoices
Support facilities-related purchase order requests
Add or remove employee records in Kronos
Manage timekeeping and overtime entries
Process payroll transactions across multiple systems
Update employee records and perform system corrections when required
Candidates should have familiarity with enterprise business systems such as:
SAP
Maximo or other CMMS platforms
FDP
Kronos
LoadChart
ESM (PO modification system)
Paperless documentation systems
Strong problem-solving skills
Experience working with enterprise business applications
Understanding of purchase order processing and inventory/quantity tracking
Intermediate Microsoft Office skills (Excel, Outlook, Word)
Typing speed of 45–50 words per minute
Ability to manage confidential administrative information
Intermediate Excel skills
Experience with ERP or CMMS systems preferred
Strong data entry accuracy and attention to detail
Ability to manage multiple systems and administrative processes simultaneously
Candidates must demonstrate competency in Excel and typing during the interview process.
High school diploma or equivalent required
2–5 years of administrative, operations support, or business systems experience preferred
