JAB Recruitment is actively seeking an Administrative Assistant to support a leading international provider of technical asset integrity services in the oil and gas industry, based in Katy, Texas 77494.

PLEASE NOTE

  • This is an estimated 3 month, part-time contract role with the possibility of conversion to a full-time position. Conversion is dependent on individual performance, market conditions, and business needs, and is not guaranteed.
  • Schedule: Monday – Thursday, 9:00 a.m. – 4:00 p.m. (6-hour workday with a 1-hour break)
  • Work arrangement: On-site, four days per week
  • Candidates must be authorized to work in the United States on a permanent basis without current or future visa sponsorship. Sponsorship is not available.

Position Overview
  • We are seeking a reliable and detail-oriented Administrative Assistant to support our Operation’s Department. This is a contract, hourly position ideal for someone early in their administrative career who is looking to gain hands-on experience in operations, project coordination, and staffing support. The role offers room to grow for the right candidate.

Key Responsibilities
  • Provide administrative support to the Operations Department, including project tracking and reporting
  • Perform project expense tracking and accurate data entry using Excel and internal systems
  • Assist with personnel onboarding and staffing coordination
  • Track, review, and follow up on contractor timesheets and expense submissions
  • Make professional follow-up phone calls and emails to contractors regarding missing, incorrect, or incomplete documentation
  • Maintain organized and up-to-date records, spreadsheets, and files
  • Work closely with a small in-house team to ensure smooth daily operations

Required Qualifications
  • Strong proficiency in Microsoft Excel, Microsoft Office, and Outlook
  • High level of accuracy and attention to detail, especially with data entry and expense tracking
  • Comfortable making phone calls and communicating professionally with contractors
  • Strong organizational and time-management skills
  • Ability to collaborate effectively and work well in a team-oriented environment

Preferred Qualifications
  • Experience using LinkedIn for professional or administrative purposes
  • Previous administrative, operations, or data entry experience

Work Environment
  • Small, collaborative in-house team
